1. Booking & Deposit
- A 20% non-refundable deposit is required to secure all bookings.
- The deposit confirms allocation of equipment, staff, transport, and scheduling for your event.
- Bookings are not confirmed until the deposit has been received.
2. Final Payment
- Full payment must be made no later than 72 hours prior to the scheduled event date.
- Failure to complete payment may result in cancellation without refund of the deposit.
3. Cancellations & Rescheduling
- Events may be rescheduled at the client’s request with more than 72 hours’ notice, subject to availability.
- Requests made within 72 hours of the event will incur a 25% rescheduling fee.
- Deposits remain non-refundable under all circumstances.
4. Access & Setup Conditions
- Equipment must be fully accessible at the agreed collection and installation time stated on the invoice.
- Delays or restricted access may result in additional charges.
- Quoted prices assume:
- Ground-floor setup, and
- Clear vehicle access to the setup location.
- If the setup location is upstairs, difficult to access, or requires additional labour, extra fees may apply.
5. Installation Surfaces
- Installation on hard or non-standard surfaces (including concrete, tiles, decking, or uneven ground) may attract additional charges.
6. Responsibility & Care of Equipment
- The hirer is fully responsible for all equipment during the hire period.
- Any loss, theft, or damage (including accidental or weather-related damage) will be charged to the hirer.
- Equipment must be returned clean and in the same condition it was supplied.
- Cleaning or repair fees will apply if equipment is returned dirty or damaged.
7. Weather Conditions
- Events will proceed unless weather conditions pose a risk to public safety or equipment.
- In windy or unsafe conditions, it may not be possible to install larger screens.
- Our team will:
- Always attempt installation where safe
- Install the largest screen possible under the conditions
- The installer’s decision is final for safety reasons.
- No refunds or price adjustments will be provided if a smaller screen is installed due to weather conditions.
8. Power Requirements
- A power source must be available within 20 metres of the setup location.
- If power is unavailable or further away, additional charges may apply or setup may be delayed.
9. Late Returns
- Equipment returned late will incur a $50 late fee per additional day, or part thereof.
10. Liability
The hirer agrees to indemnify the company against claims arising from misuse or unsafe use of hired equipment.
The company is not liable for:
Event disruptions beyond its control
Weather-related issues
Power failures at the venue
Loss of content, signal, or third-party services
